A fair staff rota gives everyone confidence before the week starts. Fairness is not simply about giving everyone the same total hours. It is about applying clear scheduling rules consistently across the team, making hard constraints visible to everyone, and publishing dates early enough for people to plan their lives outside work.

1. Start with the coverage you need

List the shifts that must be covered before assigning names. Include start and end times, required skills, minimum staffing and any handover overlap. This separates the operational problem from individual preferences.

2. Add constraints before preferences

Mark annual leave, training, contracted hours and rest requirements first. Then add preferences such as preferred days or a request for a particular pattern. A preference is useful context, but it should not silently override a safety or coverage requirement.

3. Use a repeatable pattern where possible

Rotating patterns reduce last-minute decisions. Save the pattern you use most often, then adjust one-off shifts rather than rebuilding the whole calendar every week. 4. Make changes visible

When a shift changes, keep the planned time and the actual time distinct. That creates a useful record for handovers and helps explain differences in hours or estimated pay later.

A simple fairness check

Before publishing, ask: Is the required coverage met? Are rest and leave constraints respected? Are unpopular shifts shared according to an agreed rule? Can every change be explained?

5. Review the rota after the week

A rota improves when you learn from it. Compare what was planned with what happened, note recurring changes and update the pattern only when the evidence supports it.
